Salary Range: $75,000 – $90,000

  • Virtual Care Media – Enables brands to connect with relevant patients during virtual care visits.

  • Custom Care – Guides consumers through product discovery, physician consultation, and prescription fulfillment in one seamless online journey.

Populus is expanding its capabilities including integrating AI-driven personalization and analytics across its product suite to further enhance engagement, efficiency, and outcomes.


Role Overview

We are seeking a Product Operations Associate to own the numbers and the process behind every proposal we send.  You will produce and manage our audience counts and estimates.  You will also run the product-operations side of our RFP responses across Virtual Care Media and EHR Media (EHR).  This is a hands-on role. You will be responsible for keeping work accurate under deadline pressure, and for building repeatable processes in a function that is still taking shape.

You will work directly with the VP of Product and alongside Sales and Data, with room to ask questions and learn.  There is also a clear path to product management beyond this role.


Key Responsibilities

HCP and Health Consumer Audience Counts & Estimates (Pre-Sale)

  • Produce, manage, and quality-check audience counts and targeting estimates across our product lines including Virtual Care Media and EHR
  • Meet turnaround time and accuracy standards
  • Research and append approved targeting, whether internal or client-provided

 

Inventory Management (Pre-Sale)

  • Manage and respond to inventory requests from the Sales team, using our inventory management tools
  • Work with Ad Operations to track inventory by partner and help set the inventory requirements behind monthly allocations

 

RFP Response Support (Pre-Sale)

  • Coordinate intake, track open items, and keep RFPs moving through the workflow during peak season
  • Provide product and technical specification support to Sales on RFPs
  • Partner with Product, Sales, and Data on responses, and escalate open questions for sign-off

 

Process & Documentation

  • Help build and maintain repeatable processes for counts and RFP responses as the function grows
  • Keep records of requests and keep documentation current, so every estimate, price, and request is traceable
  • Spot manual, repetitive steps and propose automation or AI-assisted improvements
 
What We’re Looking For
  • Bachelor’s degree or equivalent experience
  • Up to 3 years in operations, analytics, ad operations, media planning, or a related function. We will teach you the pharma specifics.
  • Strong attention to detail and comfort with data; you can own the accuracy of a deliverable end to end
  • Highly organized; you can juggle multiple concurrent requests and hit deadlines without being chased
  • Comfortable working in Excel or Google Sheets
  • Clear, concise written communication
  • Comfortable using AI tools in your day-to-day work
  • Wants to get better at the work every week, and is comfortable when the process is still being figured out
 
Preferred Skills (Not Required)
  • Hands-on with AI beyond chat: building automations, custom workflows, agents, light scripting, or connecting AI tools to other systems. If you have built with AI beyond chatting, lead with it.
  • Experience with pharma clients or agencies, or healthcare media
  • Familiarity with ICD-10 coding, NPI targeting, or audience estimation
  • Exposure to ad serving or ad operations
  • A track record of turning messy, manual work into clean, repeatable process
  • Interest in growing toward a product role, and curiosity about how each product works, sells, and is positioned

This role is built to grow.  As we automate the manual parts of counts and inventory, the work shifts from running the numbers to understanding the products behind them.  You will learn each product inside out: its capabilities and limits, how it goes to market, and how it is positioned.  That is the foundation of product management, and the path here points toward an associate product manager role for someone who wants it.
